It isn’t worth much on its own. It doesn’t stop a leak, it won’t reach landlines or callers who hang up within seconds, and it only pays off when a person calls back within minutes. Register your number for business texting first, and judge it by how many missed calls became booked jobs.

Whether a text-back pays comes down to the same thing as every other part of plumbing marketing: what each booked job cost. Our plumbing marketing packages include call tracking with recording and source tagging, so you can see which calls rang out and whether they booked, and automation add-ons such as a unified inbox, after-hours answering and automated follow-up plug into any package. The rest of the plumbing marketing questions library goes question by question.

What is missed-call text back?

It’s an automatic text your phone system sends when a call to your business goes unanswered. The caller rings, nobody picks up, and a few moments later they get a text from the number they dialed saying who you are and that you’ll call back.

Most call tracking and field-service tools have a version of it, and the details differ:

CallRail can send an automated text to someone whose call you missed. It sends from the tracking number the customer called by default, and you can pick a backup tracking number in case that one can’t send texts (Automated responses for missed calls).

Housecall Pro has a missed-call automation that texts your existing customers when you miss their call, set to run during business hours, outside them or any time of day (Voice Settings Overview).

Jobber’s Receptionist has an SMS send-back: if a caller hangs up before the AI receptionist can start a conversation, it can text them automatically (Receptionist, powered by Jobber AI).

Read your own tool’s rules before you count on it, because who gets the text varies.

Is it worth it for a plumbing company?

Usually, as a backstop. We haven’t found a published study that measures what a text-back does for plumbing companies, so what follows is judgement, not a benchmark.

It tends to be worth it when:

Your plumbers or your office miss calls during the day because they’re on jobs, on another line or driving.

Someone can call back within minutes of the text going out.

A good share of your missed calls are routine work: a water heater quote, a slow drain, a fixture install.

It’s worth much less when nobody calls back for hours, when most missed calls are emergencies, or when the real problem is that one person answers every phone in the company. In those cases the text tells a caller you’ll be in touch and then nothing happens, which, in our judgement, can do more harm than the missed call alone.

The cost side is small next to a booked job. CallRail, for example, charges standard text rates per automated response, plus a monthly 10DLC fee of $1.50 once you register for business texting. Your tool’s pricing may differ.

Which plumbing callers does a text actually save?

In our judgement, the text earns its keep with callers who can wait a few minutes:

Planned work. Someone pricing a water heater replacement or a repipe is comparing plumbers, not standing in water. A text that says a person will call within minutes keeps you on their list.

Existing customers calling to check a time or book their next visit, who already know your name.

Property managers and commercial customers, who often work by text anyway.

Callers on a busy day, such as the morning after a hard freeze, when a text tells them they’re in line instead of leaving them guessing.

It saves the fewest emergency callers. Someone with a burst pipe or a sewage backup will usually call the next plumber before your text arrives, in our view. If you get emergency calls during the day, the fix is faster answering, which how fast your office should answer covers; the text can still help by telling the caller exactly how to reach a person right away.

Who won't get the text?

More callers than most owners expect. CallRail’s help center lists several cases for its feature:

A caller on a landline, or any number that can’t receive texts, won’t get it.

A caller who hangs up before 15 seconds have passed is classed as abandoned and doesn’t get the text.

Toll-free tracking numbers can’t send texts.

Phone numbers not based in the United States or Canada can’t use automated responses.

Other tools have their own limits. Jobber’s send-back only goes to callers who haven’t had a text-back in the past 24 hours and haven’t replied STOP to earlier messages. Housecall Pro describes its missed-call automation as texting your existing customers; in our judgement that matters for a plumber trying to save new callers, so check with your tool which callers it covers.

So the text-back never replaces looking at the missed-call list. In our judgement, homeowners who still call from a house phone are callers a plumber doesn’t want to lose, and they’re the ones a text can’t reach.

What should a plumbing missed-call text say?

Keep it to about two lines, and put four things in it:

Who you are, first. Housecall Pro requires your company name in these texts so the customer knows who’s texting, and CallRail’s text messaging guidelines say your first message to anyone should identify your business.

When you’ll call, honestly. Say “within five minutes” only if someone really will.

One easy question, so the caller can reply instead of waiting: what’s going on, or the address.

How to opt out. CallRail’s guidelines say to tell recipients how to stop messages; “Reply STOP to opt out” is enough.

Two examples to adapt, using the made-up company name from Housecall Pro’s own phone-menu example:

Business hours: “ABC Plumbing here. Sorry we missed your call, our team is on a job. We’ll call you back within five minutes. What’s going on? Reply STOP to opt out.”

If it might be urgent: “ABC Plumbing here, sorry we missed you. If water is leaking right now, call us again and choose the emergency option. Otherwise we’ll call you within five minutes. Reply STOP to opt out.”

What should the text leave out?

Anything that makes it look like spam. The FCC tells consumers not to respond to texts or click links from numbers they don’t recognize (Stop Unwanted Robocalls and Texts), and a homeowner calling you for the first time won’t recognize your number. So lead with the company name, not a link. Housecall Pro lets you add your online booking link to the message, which can work as a second line, but it shouldn’t be the whole message.

Leave out coupons, specials and prices, in our judgement. The text is a reply to someone who just called you, not an ad. And don’t promise a time you can’t keep.

Do I need to register before turning it on?

If you’re texting from a business number through a call tracking or phone platform, almost certainly. CallRail’s Text Messaging Compliance overview says that since September 1, 2023, businesses sending texts from its numbers must register with The Campaign Registry, and that if you don’t register you won’t be able to send texts. Its automated response feature needs that registration before it works. A few details from the same page:

Registration typically takes 3 to 5 business days.

You need your business details, including your EIN, a public website with a privacy policy, and two examples of the texts you’ll send.

To avoid a rejected registration, a web form that asks for text consent needs its own text-message opt-in checkbox, which must be optional, and your site needs an SMS privacy policy saying mobile information won’t be shared with third parties or affiliates for marketing.

There are federal consent rules too. The FCC says its rules ban texts sent to a mobile phone with an autodialer unless the owner previously consented or the message is for emergency purposes, and that commercial texts require written consent while informational texts may need only oral consent. This is general information, not legal advice; keep the text-back a plain reply to the call, and ask your provider or an attorney if you’re unsure.

Does a text-back help with Local Services Ads calls?

It can help you keep the lead, but it won’t change what Google charges. Under Google’s How leads work rules, a call you miss during your business hours is a valid lead if the caller stays on the line for more than 20 seconds, and a call that goes to voicemail or an automated greeting during business hours is charged on the same rule. If you miss a shorter call and the customer calls again, that follow-up call is judged as an answered call, and you’re charged once on the first call that qualifies, not again for later calls on that lead within 15 days.

So on a long missed call from your ad, you’ve likely paid for the lead before the text goes out. In our judgement, the text and a fast callback are how you turn that charge into a booked job. Google’s About ad rankings page also lists your responsiveness, and says missed calls may hurt it; whether LSAs are worth it for plumbers covers.

Can a text-back replace an answering service?

No. A text-back sends one message; an answering service or AI receptionist talks to the caller, takes the details and, depending on how you set it up, books the job or sends an emergency to whoever is on call. In our judgement, the strongest setup uses both: an answering layer for every call it can reach, and a text for the ones that slip through.

The clearest case is at night. A homeowner with water on the floor at midnight needs a voice that can dispatch, not a text promising a call in the morning. Losing after-hours plumbing calls covers night coverage, including where a text fits.

Can I use the text thread for follow-up and reviews later?

Carefully. CallRail’s guidelines say you can reply to inbound texts to gain consent for future messages, that explicit written consent is needed to send promotional messages when there’s no documented inbound inquiry, and that a prior relationship alone doesn’t count as opt-in consent. Requests such as STOP must be honored, and any reasonable request to stop counts.

In our judgement, the clean split for a plumber is this: the text-back handles the missed call, the callback books the job, and anything later, such as estimate follow-ups, membership reminders or review requests, goes only to customers who’ve agreed to hear from you that way. CallRail’s page also notes that carriers can block your texts if you get complaints, which would take the text-back down with everything else.

How do I know if my text-back is paying off?

Count it for a month. Four numbers tell you enough, in our judgement:

Missed calls, by time of day.

Texts sent, and why the rest didn’t go (landlines, quick hang-ups, number type).

Replies and callbacks reached.

Jobs booked from those missed calls within a day.

CallRail shows each automated response in the customer’s timeline, so you can line the text up with the call and the outcome. If texts go out but few callers pick up the callback, the callback is too slow. If missed calls spike at the same hours every day, the real fix is phone coverage, with the text as the backstop. Tracking which marketing books jobs covers tying each call to a booked job.

Want to see where your company stands?

A free visibility audit shows where you show up on Google, Maps and AI answers, and what it's costing you in calls.

Get my free visibility auditBook a growth call

What's different about missed-call text back for plumbers

Hands are busy all day. A plumber under a sink, in a crawl space or holding a pipe together can’t answer, and in a small shop the plumber is often the office too. In our judgement that makes daytime missed calls, not just night calls, the main job for a text-back in plumbing.

Emergencies outrun a text. A burst pipe or a sewage backup is a phone call, not a text conversation. Use the text to point an urgent caller to a person, not to ask them to wait.

Repeat customers are a big part of the phone. Plumbers often hear from the same households and property managers again, which is the group some tools, such as Housecall Pro’s missed-call automation, are built to text. That’s our reading of how plumbing work runs, not a measured figure.

A worked example: what a text-back might be worth

These numbers are made up to show the math, not a benchmark for your market. Say your plumbing company misses 40 calls a month from new customers during the day. Without a text-back, the office calls them back an hour or two later and books 6 of them.

Now say you turn on a text-back and someone calls each one back within five minutes. Some callers still don’t get the text, because they called from a landline or hung up quickly, but the fast callback reaches more of them before they book someone else. If 12 of the 40 now book, that’s 6 more jobs a month. At a made-up average ticket of $300, that’s $1,800 a month.

Most of that comes from the five-minute callback, not the text itself. The text’s job is to keep the caller from dialing the next plumber in the minutes before your call. If you can’t make the fast callback happen, start there.

Frequently asked questions

Does a missed-call text count as calling the customer back?

No. It tells the caller you’ll be in touch; it doesn’t book anything. Someone still needs to call within minutes.

Should the text-back run after hours too?

It can, as long as the message says honestly what happens next. For water that won’t stop, the caller needs a way to reach a person tonight, not a promise of a morning call.

Can I send the text from my main business number?

That depends on your tool. CallRail sends from the tracking number the customer called by default, with a backup number if that one can’t text. Whatever number sends it must be registered for business texting.

Will customers be annoyed by an automatic text?

Not if it’s short, names your company and is followed by a real call. Jobber limits its send-back to one text per caller in 24 hours, which is a sensible rule whatever tool you use.

Can I put a link to book online in the text?

You can, and Housecall Pro lets you add your booking link. Put your company name first, though, because people are told not to click links from numbers they don’t recognize.

Do I need a call tracking company to do this?

Not necessarily.
