Google lets you ask every customer for an honest review, but it doesn’t allow incentives, asking only the happy customers, pressuring people on the spot, asking reviewers to name a tech, or giving staff review quotas. So make the ask part of closing out every job, and reward techs for asking, not for the number of reviews they bring in.

Asking on every job is the part only your crew can do; the rest is setup and follow-through. Review response and basic review generation are part of our local SEO work, included in our Essentials package ($3,500 a month) for one location, and our Growth package adds advanced review generation. See how that fits the rest of our HVAC marketing. The HVAC marketing guide covers reviews alongside every other channel, and the rest of the HVAC marketing questions library goes question by question.

Why don't my techs ask for reviews already?

In most shops it isn’t attitude. Asking feels awkward at the end of a service call, nobody gave the tech words to use, the review link lives in the office instead of on the tech’s phone, and nobody checks whether the ask happened. In our judgement, each of those is a process gap rather than a people problem, and each one has a fix further down this page.

The other reason is fear of getting it wrong. Techs hear that Google cracks down on reviews and decide it’s safer to say nothing. Knowing exactly where Google draws the line takes that excuse away, and it protects you from the habits that can actually get a profile in trouble.

What does Google allow my techs to say when they ask?

Google’s Maps content policy is specific. It does allow businesses to ask customers to post reviews of a genuine experience, as long as the business doesn’t offer an incentive or try to influence the rating or what the review says. It does not allow a business to:

Offer incentives, such as payment, discounts, or free goods or services, for posting a review, or for changing or removing a negative one.

Discourage or prohibit negative reviews, or selectively ask only happy customers for positive ones.

Require or pressure customers to leave ratings or write reviews while on the premises.

Ask for specific content in the review, including content that identifies a staff member.

Ask staff to bring in a certain number of reviews.

The last two catch a lot of HVAC shops, because “tell them to mention my name” and a monthly review target per tech are common habits. Both are on Google’s list. Source: Prohibited & restricted content (Maps user-generated content policy).

Can I give my techs a bonus or a review target?

The target is the problem. Google’s policy lists a business asking its staff to solicit a certain number of reviews as something it doesn’t allow. A bonus for each review works like a target with money attached, so in our judgement it carries the same risk, and it nudges techs toward the other things Google bans: pressing customers on the spot, asking only the friendly ones, or asking for a name in the review.

What you can reward is the process. Make the ask a line on the job checklist, the same as photos and a signed invoice, and recognize the techs who do it every time. That keeps the reward on something the tech controls (asking) instead of something the customer controls (writing a review). That’s our recommended setup, not a Google rule.

One more line to hold: techs and office staff shouldn’t review your business themselves. Google’s policy doesn’t allow content based on a conflict of interest, which it says can include current or former employment. The FTC’s rule on consumer reviews also makes it a violation for an officer or manager to write a review of their own business without clearly disclosing that relationship, and it bars offering anything in exchange for reviews that express a particular sentiment, positive or negative. Sources: Google Maps content policy and 16 CFR Part 465, Rule on the Use of Consumer Reviews and Testimonials.

Can my techs just ask the customers who seem happy?

No. Google’s policy says businesses may not discourage or prohibit negative reviews, or selectively solicit positive reviews from customers. In our reading, that covers the common “Were you happy? Here’s the Google link. Not happy? Call the office” survey, which is often called review gating.

Ask every customer on every completed job, the same way. A grumpy customer is still worth asking. Google says honest and balanced reviews help customers decide, and that a mix of positive and negative feedback often feels more trustworthy. If an unhappy customer does post, a calm reply helps more than silence; optimizing your Google Business Profile covers how to answer bad reviews. Something like:

“Thanks for having us out. Google reviews make a big difference for a local company like ours. I’m texting you our review link now, and if you get a minute later, we’d really appreciate an honest review.”

What’s missing is on purpose: no “five stars”, no “mention my name”, no “if you were happy”, and no discount, free filter or drawing entry. Each of those runs into a line in Google’s policy.

Then have the tech send the text or hand over the card and get on with packing up. Google says businesses shouldn’t require or pressure customers to leave ratings or write reviews while on the premises. In someone’s driveway or kitchen, our reading is simple: ask once, give them the link, and let them do it on their own time instead of waiting while they type.

Practice it. A script a tech has said out loud a few times in a morning meeting comes out naturally on the job; one that lives in a binder doesn’t.

When is the best time to ask after a repair, tune-up or install?

Ask at the moment the customer can see the result. Google doesn’t set a timing rule, so this is our judgement by job type:

Repairs. Once the system is running and the customer has felt the cold or warm air come back.

Tune-ups. When the tech walks them through what was checked and what was found, even if nothing was wrong.

Installs. At the final walkthrough, with a reminder text a day or two later, after the new system has run through a night or a hot afternoon.

Late-night emergency calls. Skip the driveway ask when everyone is exhausted, and send the link the next morning.

It also helps to keep your services list on Google current. Google says customers reviewing a service business may be asked to identify the work you did, and the choices come from your services list, your website or a standard list for your business type. If installs, repairs and maintenance plans are all listed, a review can show which kind of job it was. Source: About reviews for service businesses.

How do my techs get the review link to the customer?

Google gives a Business Profile a review link and a QR code. It suggests putting them on receipts and in thank-you emails, and says you can also send review requests by email, WhatsApp message or Facebook post. For an HVAC company that usually means three places: the invoice or follow-up text your job software sends, a small card the tech leaves behind, and the tech’s phone, so they can text the link on the spot.

Two details trip people up. Review QR codes can only be created from a computer browser, not a phone, so the office should make the cards. And customers need to be signed into a Google Account to leave a review, though Google says the account can use a non-Gmail email address. If a customer says they don’t have Gmail, that’s not a dead end. In our judgement, a single reminder a few days after the job, sent to every customer the same way, catches the people who meant to do it and forgot. More than that starts to feel like pestering, and an annoyed customer is not who you want writing a review.

Split the work so neither side carries it alone: the tech makes the personal ask, and the office or your job software sends the link and the one reminder. If your follow-up texts already go out after each job, the review link belongs in that same sequence. Getting more repeat customers and referrals covers the rest of what to send after the truck leaves.

What happens if Google catches paid or fake reviews?

Google removes reviews that break its fake engagement rules, and its help center says reviews removed for policy violations won’t be restored. If it decides a business owner broke the rules, it can also restrict the whole profile. The examples Google lists:

The profile can’t receive new reviews or ratings for a set period.

Existing reviews and ratings are unpublished for a set period.

The profile shows a warning telling customers that fake reviews were removed.

Google says it emails the owner before applying a restriction, and businesses can appeal. Federal rules apply too: under the FTC’s rule, it’s a violation for a business to buy reviews it knew or should have known were fake. In our judgement, hiring a company that promises a flood of reviews doesn’t move the risk off you, because the profile Google restricts is yours. Sources: Business Profile restrictions for policy violations, About missing or delayed reviews and 16 CFR Part 465.

How do I know if my techs are actually asking?

Measure the ask, not the reviews. Add a yes-or-no field or tag at job close in whatever you run the business on, whether that’s ServiceTitan, Housecall Pro or Jobber, and look at the share of completed jobs where the tech asked. That number is fully in the tech’s control, so it’s fair to coach on. That’s our recommended setup.

Then watch the company-wide totals once a month: completed jobs, new Google reviews and your average rating. Google says the review score is the average of all ratings published on Google, and that it can take up to 2 weeks after a new review for the score to update, so judge the trend over a month, not a day. In our judgement, keep review counts at the company level instead of turning them into a per-tech scoreboard, which drifts back toward the quota Google doesn’t allow.

What all those reviews actually do for your phone is its own question, covered in how much Google reviews affect calls. In our judgement, ask after the first visit and don’t repeat the ask every tune-up; a member who has already reviewed you is better asked for a referral.

Installs versus service calls. A replacement is the biggest ticket you sell and the job a shopping homeowner most wants to read about. Decide who owns the ask on installs, whether that’s the lead installer at the walkthrough or the comfort advisor who sold it, so it doesn’t fall between two people.

Peak season. When techs are running back-to-back no-cool calls, the driveway ask is the first thing dropped. That’s exactly when the automatic link in the invoice text matters, because it goes out even when the tech forgets.

Reviews do more than fill Maps. In our judgement, many homeowners comparing HVAC companies read the reviews before they ever open the website. Making your HVAC company look trustworthy online covers the other signals they check.

A worked example: what the ask rate does to your review count

These numbers are made up to show the math, not a benchmark for your market. Say your techs complete 300 jobs a month, and right now they ask for a review on about 40% of them, or 120 asks. If about 1 in 10 customers who are asked goes on to post a review, that’s 12 new reviews a month.

Now make the ask part of closing out every job, with the link going out automatically, and get the ask rate to 90%. That’s 270 asks, and at the same 1 in 10, about 27 new reviews a month. Same techs, same customers, more than twice the reviews, and nobody was offered a filter or given a quota.

The share of asked customers who actually post varies a lot from shop to shop, so measure your own for a month before and after the change. The lever you control is the ask rate.

Frequently asked questions

Can my office staff or family leave reviews for the business?

Not on Google.
