Because insurance-paid restoration jobs are often paid weeks after the work, keep the source attached to the job, add the estimate, the invoiced amount and the money actually collected as each one comes in, and report every channel by the month its leads arrived. Judge channels on cost per signed job first, then on what those jobs actually paid once the money lands.

Every one of our packages includes reporting and attribution: monthly performance reports with a cost-per-lead breakdown, full-channel attribution across phone, web, chat and social, call tracking with recording and transcription, form and chat lead tracking, and source tagging, plus a real-time dashboard. Tying those leads to what insurers eventually pay still depends on your own job records, which is why the setup below matters whoever runs your marketing. You can see what each tier includes on our packages page and how it applies to water, fire and mold work on our restoration marketing page. For what makes a water damage lead worth chasing in the first place, see the guide to water damage leads, and the rest of the restoration marketing questions library goes question by question.

What should count as a booked restoration job?

Pick one point in the job and use it everywhere. For most restoration companies, the cleanest line is a signed job: the property owner has signed your work authorization or contract and you’re on site, or scheduled to be. A phone call isn’t a job, and neither is an inspection that ends with “we’ll think about it.”

Then follow each signed job through the stages that matter to your cash:

Lead: the first call, form or message, with its source.

Signed: work authorized.

Estimated: your estimate or scope, with its dollar amount.

Invoiced: what you billed, for mitigation and for any rebuild.

Collected: what has actually been paid, by the insurer, the property owner or both.

Marketing gets judged on the first two quickly and on the last three once the money comes in. Mixing them up is how a channel that’s working gets cut in a slow-paying month.

How do I give each marketing channel its own phone number?

Emergency work mostly arrives by phone, so calls come first. Call tracking gives each source its own number that rings through to your office and records which number was dialed. CallRail’s dynamic number insertion overview describes the two common setups:

A source tracking number: one fixed number for one source, such as a billboard. Use these for your vans, yard signs, door hangers, mailers and your Google Business Profile.

A website pool: a set of numbers that swap on your site based on how each visitor arrived, so a call from the website is still credited to Google Ads, organic search, Maps or social.

If you run Google Ads, Google can count calls too. Its call conversion tracking covers calls made straight from your ads and calls to a Google forwarding number shown on your website after an ad click, and you set a minimum call length so short hang-ups don’t count.

Whatever you use, the tracked number has to ring a phone someone answers around the clock. Call tracking also shows you missed calls by source and time of day, which in restoration is often the most expensive thing it finds. How fast you need to answer emergency calls covers that side.

How do I track forms, chats and after-hours messages?

Treat every way a customer can reach you as a lead source that needs a label. For links you control, use UTM tags. Google’s help page on campaign URLs says to always use
utm_source
,
utm_medium
and
utm_campaign
, and that the values are case-sensitive, so
google
and
Google
show up as two different sources. Pick lowercase names once and reuse them.

Put tagged links on your Google profile’s website button, social posts, emails to property managers and agents, and QR codes on printed pieces. Then make sure form fills, chat leads and after-hours messages land in the same place as your calls, with the source attached, instead of in someone’s inbox.

Where should the lead source live once the job starts?

On the job file, from the first call to the last payment. Whatever you run jobs in, whether that’s a restoration platform, a field service app or a spreadsheet, the lead source needs to be a field on the customer or job record, not a note in someone’s head. Whoever takes the call fills it in from a short fixed list: Google Ads, Local Services Ads, Google profile, website, referral (with who referred), insurance or program referral, repeat customer, van or sign.

Check what your software’s reporting actually counts. Jobber’s Lead Source Report, for example, shows leads, quotes, jobs and invoices by source, but its invoice value column is the total from the first invoice linked to the lead. Jobber says that’s on purpose, but on a restoration job where mitigation and rebuild are billed separately, the first invoice may be only part of what the customer was worth. In our judgement, it pays to keep both phases under one customer and source, and to add up the total yourself when you review.

Call tracking can carry some of this for you. CallRail says you can qualify leads by scoring a call as a lead, tagging it and recording a value for it, manually or with automation rules.

How do I tie a lead to an insurance payment that arrives weeks later?

Keep one record per job that carries the source and the lead date all the way through, and fill in the money columns as they happen. A simple job sheet, in your software or a spreadsheet, needs these:

Job number and property

Lead source and lead date

Signed date

Estimate amount

Invoiced amount, mitigation and rebuild

Amount collected, and date fully paid

Claim number, if there is one, so payments can be matched to the job

Then report each channel by the month the leads came in, not the month the money arrived. If Google Ads brought in five signed jobs in March, those five jobs stay March’s results even when the last payment lands in May. Jobber’s lead source report works this way too: it filters by the date the lead was created.

This matters more in restoration than in most trades. Insurance-paid jobs can pay in pieces and well after the work, so in our judgement a channel judged on cash collected in the same month will almost always look worse than it is. Insurance details belong between the owner, the adjuster and the policy; your job sheet only needs to know what was billed and what was paid. How restoration companies get insurance-related jobs covers where that work comes from.

What job value should I use before the insurer pays?

Use three values, in order, and never confuse them:

Estimate at signing. Your best early number, good enough to compare channels in the first few weeks.

Invoiced. What you actually billed once the scope settled.

Collected. What you were paid. This is the only number that’s revenue.

Report early months on estimates, labeled as estimates, and replace them as invoices and payments come in. In our view, the gap between invoiced and collected by channel is worth watching too: if one source brings jobs that are slow or hard to collect on, that’s a cost even when its cost per signed job looks fine.

Can Google Ads learn which clicks became paid restoration jobs?

Partly, and the timing rules matter more for restoration than for most businesses. Google Ads can import offline conversions, such as a signed job, matched back to the ad click. Google’s offline conversion imports FAQ sets the limits:

Google keeps the click ID (GCLID) for only 90 days. If your conversion happens after that, Google says to upload an offline conversion event that happens within the 90 days instead.

For enhanced conversions for leads, which match on details like an email address, conversions can be uploaded up to 63 days later.

You can restate a conversion’s value using conversion adjustments up to 55 days from when the conversion was first recorded.

For an insurance-paid job, the practical setup is to send the signed job as the conversion, since it happens soon after the call, with your estimate as its value. If the invoiced amount turns out different and you’re still inside the adjustment window, Google’s conversion adjustments let you restate the value without changing the conversion count. Final insurance payments that arrive months later usually won’t make it back into Google Ads, so they stay in your own job sheet.

Also check the conversion window. Google’s conversion window setting decides how long after a click a conversion still counts; the default for click-through conversions is 30 days, and you can lengthen it, depending on the conversion source.

How do I track jobs from plumbers, adjusters and property managers?

Give them their own sources, and name the person or company. Referral and relationship work is a big share of restoration jobs for a lot of companies, and if it gets lumped in with “Google” or left blank, your paid channels get credit for work they didn’t win. In our view, it’s one of the easiest ways for restoration numbers to get skewed.

Useful sources to separate:

Referral by name: each plumber, agent or property manager who sends work

Insurance or program referrals

Repeat and commercial accounts

Past customers

Then you can see which relationships are worth more of your time, which is its own channel to build; building a referral network with plumbers and property managers covers how.

Which numbers should a restoration owner look at every month?

Per channel, keep it to these:

Spend: ad spend plus any management fees or software for that channel.

Leads: answered and missed calls, forms and messages, with out-of-area and junk calls marked.

Signed jobs and cost per signed job: spend divided by signed jobs.

Estimated, invoiced and collected value of those jobs, by the month the leads came in.

Days to payment: how long that channel’s jobs take to pay in full.

If you run both Google Ads and Local Services Ads, split them; they’re priced differently and bring different calls. Whether to run Google Ads, LSAs or both covers that choice.

How long before the tracking numbers mean something?

Two clocks run at once. The first is the channel’s own ramp: ads can bring in leads within days of launch, while SEO typically takes 3-6 months to show meaningful growth. The second is the payment lag on insurance work, which pushes the “collected” column out by weeks or more.

So in our judgement, judge a new ad channel on signed jobs after a month or two, and on collected value only once most of those early jobs have paid. Storm months will throw everything off, in both directions, so compare a storm month with another storm month where you have the history, and look at a rolling three months before cutting anything. If you pay an agency, this is also the standard to hold it to; whether your agency is producing real jobs covers what to ask for.

Not sure which of these is costing you jobs?

A free visibility audit checks the Google profile, reviews, site and tracking, and shows what to fix first.

Get my free visibility auditBook a growth call

What's different about tracking restoration marketing

Mitigation and rebuild are often billed separately. If you do both, keep them on one job and one source, or the channel that won the job only gets credit for the first half.

Storms swamp the numbers. One weather event can bring more calls in a week than a normal month. Mark storm periods in your job sheet so a later quiet month isn’t mistaken for a broken channel.

Out-of-area calls cost real money. Restoration ads can pull calls from far outside your service area. Mark them as out of area instead of deleting them, so you can see which channel is sending them and fix the targeting.

Insurance pays late, and not always in one piece. That’s why the lead date and source have to stay attached to the job until it’s fully paid.

A worked example: one month of leads, judged twice

These numbers are made up to show the math, not a benchmark for your market. Say you spend $3,000 on Google Ads in March. It brings in 25 leads, and 5 of them become signed jobs. Your cost per signed job is $3,000 divided by 5, or $600.

Your estimates on those five jobs add up to $40,000. By the end of March, you’ve collected $6,000 on them. If you judged Google Ads on March’s cash, $3,000 spent for $6,000 collected looks thin.

Now look again in June, still filed under March’s leads. Those five jobs have been invoiced and mostly paid, and collections on them total $38,500. Same ads, same month of spend; the only thing that changed is that the insurance money arrived. Report by lead month and the channel’s real value shows up; report by cash month and you might have cut it in April.

If you pay for management, count that fee as spend too. Our Essentials package is $3,500 a month, and ad spend is paid to Google separately, so both belong in the math when you judge what any agency, including us, produces.

Frequently asked questions

Do I need special software to track restoration marketing?

No. Call tracking and a job record with a lead source field are the core. Google even says a spreadsheet can work for offline conversion imports, so a well-kept job sheet is a fine start.

Should I count the homeowner's payment and the insurance payment together?

For marketing purposes, yes: what matters is the total collected on the job. Keep the claim number on the job so payments can be matched, and leave the insurance details to the owner, the adjuster and the policy.

What if a customer calls my van number but found me on Google?

Credit the number they called, but note what they told you. Customers’ answers are loose, so in our view the tracking number is the better record, and the customer’s answer is a useful hint.

Can I track Local Services Ads leads the same way?

Yes. Give LSAs their own source in your job records and add those leads to the same job sheet, so they’re judged on signed jobs and collected value like every other channel.

How do I handle a job that never gets paid in full?

Record what was actually collected and mark the job closed. Cost per signed job stays the same, but that channel’s collected value drops, which is exactly what you want the report to show.

Key takeaways

Give every channel its own tracking number or tagged link, and put the source on the job file at the first call.

Count a signed job as booked, then record estimated, invoiced and collected value as each comes in.

Report channels by the month their leads arrived, because insurance payments come weeks later.

Send signed jobs back to Google Ads as conversions; Google keeps the click ID for only 90 days.

Give referrals, adjusters and property managers their own named sources so paid channels don’t get their credit.

Want a second set of eyes on your setup?

We'll look at how you show up locally and where calls are leaking, then send you a plain-English breakdown.

Get the free auditBook a growth call

More in this section

Is my restoration marketing agency producing real jobs?

How should a restoration company market to commercial properties?

How should a restoration company handle marketing during storm season?

Should a restoration company run Google Ads, LSAs or both?

Do Angi or HomeAdvisor listings help restoration companies rank?

Sources

Dynamic number insertion overview —
